VisitLog is software for recording visitors and employee working time at care facilities. We provide the software and hosting. You — the facility — decide how to use it, what to record, and who may access it.
You are responsible for keeping your sign-in credentials secure and for the actions taken under your account. Tell us promptly if you believe an account has been compromised. We may suspend an account we reasonably believe is being misused.
Visitor records, employee records, time punches, and everything else you enter remain yours. We do not sell them, and we do not use them to train anything or share them with advertisers. We access them only to operate and support the service, or where we are legally required to.
[REVIEW] State how long you retain data after an account closes, and what happens to it then — deletion timeline, export options.
You are responsible for meeting your own legal and licensing obligations. That includes telling visitors and staff what you record and why, obtaining any consent your jurisdiction requires, and confirming your retention periods. VisitLog offers compliance tooling and suggested wording as a starting point; this is not legal advice, and using VisitLog does not make you compliant with anything. Where we cite a statute we give the source and the date we checked it, so you can verify it yourself — requirements change, and they vary by county, licence type, and facility.
[REVIEW] State what uptime, if any, you commit to; whether you offer any credit for outages; and your maintenance-window policy. If you do not want to commit to a specific figure, say plainly that the service is provided without an uptime guarantee — but say it explicitly rather than leaving it unstated.
[REVIEW] State your pricing model, billing period, what happens on late payment, whether setup fees are refundable, and your notice period for price changes.
[REVIEW] State the notice period on both sides, whether any fees are refundable, and how a facility exports its data on the way out. A facility that cannot get its records back is a facility that cannot leave — decide deliberately what you offer here.
[REVIEW] This section needs a lawyer. Do not copy standard wording from another company's terms — the limits that are enforceable depend on your state, your insurance, and what you are actually selling.
We will tell you before these terms change in a way that materially affects you. [REVIEW] State how much notice, and how you will give it.
